Deploy Documentation Tools
Purpose
During a New Clinic Implementation Analysis and Discovery Phase, the stakeholders may request certain tools to help them with their electronic documentation process. The purpose of this document is to outline the steps that should be taken when preparing standard orders and forms that are related to a setting up a New Clinic. All requests during a clinic implementation should follow the Standard Orders and Form Development workflow. Shortcuts to each Standard Order created should be placed in this folder.

Planning
- During clinic discovery and workbook exercise. Clinic stakeholders will let you know which tools they would like to have developed for documenting.
- Standard orders
- Form development
- Ensure to gather all requirements per Standard Order Guidelines.
- Ensure to gather all requirements as per Form Development workflow.
- Determine if the forms are simple or complex
- Determine if the forms are required at go-live or after the clinic is live on EMR
- If a developer/analyst is needed to build the form, work with team lead/manager to get a team member assigned to complete this work.
Setup JIRA
- Create a story for each tool that needs to be developed (forms, typing templates, letter templates) under the New Clinic Set up Epic (These stories do not need to go to Intake for triage.)
- Create a subtask "Dev for EMR-XXX" for any stories that require a developer.
- Email to team lead/manager with high-level estimates from developer
- team lead/manager will then assign to developer to begin work
- In network folder "10 Documentation Tools", add shortcuts to all work item folders you have created.
Develop, Validate, and Get Sign Off from Clinic
- Begin development of all tools required.
- Once development has been complete. Ensure to conduct a demonstration with the clinic to confirm what has been designed functions as they would expect.
- If changes are required. Repeat steps 1 and 2 until Clinic Stakeholders sign off.
Deploy Documentation Tools
- Once you have receive sign off from Clinic Stakeholder. Begin the planning stage of deploying these tools.
- If the standard orders are all complete and ready for deployment during soft launch. Document this information into the Sys Config document and designate who will deploy you or the SA.
- For all Documentation Tools that will be ready on the day of Go Live or after, include comments for the SA when working on the Sys Config.
- Demo any complex forms, or new innovations at Wednesday Team Meeting - this should be a JIRA Task in the JIRA Import
