Purpose

Review the admin and clinical workflows (clinical documentation and results review) with the clinic super users

Document Current State Workflows

Pre-Requisites

  • Kickoff Meeting is complete

Tools and Resources

  • Previous Visio templates with closest Profile EMR workflows
    • Note separate tabs according to workflow - scheduling, documentation, unsigned transactions, etc.
    • If not already done, create blank Current State boxes to the bottom left or right of the tab

Instructions

  • Ask clinic if they have existing Current State workflows documented and if so, transfer that information on Visio templates
  • During Current State Workflow meetings, document in each Visio tab the current state workflows being gathered
  • For known standard workflows, communicate with clinic working group existing workflows
  • For new workflows, schedule meeting between CIS, and Lead Analyst to come up with Future State workflow design

Propose Future State Workflows

Pre-Requisites

  • Current State workflows documented
  • Send proposed future state workflows to Mai Bui, and Richmond Munro (This should be a task in JIRA import)
  • Present at Wed Team Meeting the following items (This should be a task in the JIRA Import):
    • High level overview of proposed workflow
      • Only focussing on things that are new/different for this clinic
    • Show list of typing templates being built
    • Show list of Simple Forms being built
    • Complex forms being built
    • List of reports being requested
    • The intent here is to share knowledge and see if there are resources - forms, macros, reports, queries etc that can be re-used from previous work items/clinic implementations

Declare Requirements Freeze

Some clinic implementations may require a requirements freeze to prevent scope creep and to ensure planned timelines are met.

Pre-Requisites

  • Future state workflow signed off
  • Decision between CIS/Lead Analyst on when you would like to make this declaration as not all clinic implementations may need this hard deadline

Tools and Resources

  • Received WRITTEN Sign Off of Future State Workflows from Clinic Working Group
