Background
When a clinic roster becomes large, quality of client care may be affected. The main reason why a POS would like to be setup as Team-based is to divide up clients into two distinct teams so that a group of providers only need to familiarize themselves with a subset of the clinic roster, which will ultimately allow providers to provide better quality care.
Existing PC POS with team-based care setup:
- GSP/GSO/GSG
- RAB/RAG/RAY
- DCH
- TBR
Configuration
1. Navigate to Maintain > Short Codes
2. In Type column, select Primary Care POS List which defines list of POSes available as PC POS
3. Modify existing code from TBR to TBR1 and leave description as is
4. Create new code for TBR2 with same TBR description
This results in ability to display both Teams under PC POS in Yellow Bar and Client Registration Form:
Existing code in Update Providers, PC POS and Alt POS form will auto-create the Full Name of the clinic in Client Registration Form as well.
Other Considerations
Workbooks: User List
- Clarify which user roles will belong to Team-based POS
- Providers only
- Providers and Nursing
- Generally, there are not enough Allied Health, Specialists, and CSCs to be divided into teams
- Add another column to User List workbook for clinic leadership to identify which users belong to which team
Appointment Types
Available Team-based appointment types are:
- T1 Booked which replaces Consult
- T2 Booked which replaces Consult
- T1 Walk In which replaces Walk In
- T2 Walk In which replaces Walk In
Distribution/Task Groups
Depending on which users will be divided to Teams, create team based task groups as well.
Generally, nurses will need to be a part of BOTH groups so that they can cover for each other when there are staffing issues. Nurses will sort the task list by Holder to identify which team's task group they are processing.
Note: You may need to keep the main distribution group active until Go Live and all tasks have been reassigned to the Team-based distribution groups
Signing Groups
Consider creating separate Signing Groups.
More info: Signing Groups
Note: The All Permitted filter will continue to be available to troubleshoot missing transactions.
Locum User Setup and Workflow
Providers who may cover for either teams should be a member of BOTH teams:
- Distribution/Task Groups
- Signing Groups
