Steps to Execute
Below is the standard steps they will take. Feel free to modify location of files or methods to do the analysis as it fits for the specific situation.
- Check the Date modified of the folders/files within \\vch.ca\departments\PCAC_EMR\01 - PCCEMR\08-EMR Toolkits\08-09 Converted Jaffa Files\Text File
If the files were last modified less than a month ago, can proceed to step 4. If they are more than a month out of date, please execute all steps below.
- Export jaffa files from EMR Support of all TTs, macros, letters/documents, print variables and forms.
- Save files in this folder path: \\vch.ca\departments\PCAC_EMR\01 - PCCEMR\08-EMR Toolkits\08-09 Converted Jaffa Files\Jaffa Files
- For TTs, macros and print variables: just select the first option, hold shift then select the very bottom of the list, then export it as a single file
- For forms and letters, the same method can be done but must be done within each folder (ex: a file export for 1. Investigation Requisition, one for 2. Evaluation Tools, etc.
-
Convert the jaffas to text files by using a software the sub-function found in the Version Control executable
- Filename: Jaffa File Text Converter.exe
- File location: \\vch.ca\departments\PCAC_EMR\01 - PCCEMR\08-EMR Toolkits\08-09 Converted Jaffa Files
- The Jaffa File Converter will have steps built-in. Follow the labels. See example screenshot. Reminder to use the following values:
- Step 1 default folder path: \\vch.ca\departments\PCAC_EMR\01 - PCCEMR\08-EMR Toolkits\08-09 Converted Jaffa Files\Jaffa Files
- Step 3 default folder path: \\vch.ca\departments\PCAC_EMR\01 - PCCEMR\08-EMR Toolkits\08-09 Converted Jaffa Files\Text Files
-
Search across all of these files to see if the form name exists, using tools like PowerShell or Notepad++
Notepad++ instructions:-
- Open the search sub-window (ctrl + F)
- Switch to Find in Files tab
- Replace Find What with the key word or terms as requested
- Optional - depending on what to find, possibly tick the options for Match whole word only or Match case
- Update the Directory to \\vch.ca\departments\PCAC_EMR\01 - PCCEMR\08-EMR Toolkits\08-09 Converted Jaffa Files\Text Files
- Tick In all sub-folders
- Click Find All
- When it finishes processing, it will open a pane in the main Notepad++ window with the results. Double-clicking on the result will open the file and focus directly on the line selected.
-
- Provide the analyst back a list of places the form name was found. Typically the results are returned with the following information (could be in an Excel):
-
- Date of when jaffa files retrieved (essentially will queue the analyst that the list is up to date as of DD Mmm YYYY)
- Type (form/macro/TT)
- File name (which is the name of the form/macro/TT)
- If form, subfolder the form can be found in
- Notes, if needed. Could include information like line number or if it's commented out, etc.
