Appendix - Updating Template Files

Background
There are standards folders and files that should be included for each worked on Change Request (CR) and Standard Order (SO). Two scripts are available to auto-generate the typical folder structures and insert copies of typical file templates required.
Change Request (CR)
- Take note of the ID and title of the work, as found in the JIRA ticket
- In File Explorer, navigate to \\vch.ca\departments\PCAC_EMR\01 - PCCEMR\Work Items\00 - All Items (JIRA)\[GENERATE WORK ITEM FOLDER]
- Double-click on the Generate Work Item Folder.vbs file
- Temporary Instruction: Some are experiencing a bug where this file crashes Outlook. If this happens to you, use the second scripted named Generate Work Item Folder - Version2 -no email subject.vbs. Note: that the email subject in the CC Submission email will have to be manually changed
- As prompted, input the JIRA ID without the leading "EMR-" prefix, then click OK
- As prompted, input the Description, as found in the JIRA's title, then click OK.
Note: Long JIRA titles should be renamed in both places before proceeding - long work item folder titles can cause issues with opening files within the folder - Once the processing is completed (may take a few minutes), it will display a popup message to acknowledge the folder's creation. Click OK.
- The work item folder just generated should be found under \\vch\departments\PCAC_EMR\01 - PCCEMR\Work Items\00 - All Items (JIRA) with this structure:

Main folder named after the JIRA ID and title
- Copy of the sysconfig.xlsx file, renamed with the JIRA ID as a prefix and with the Summary tab containing the JIRA ID and title

Analysis subfolder
- Copy of Complex Form Checklist.xlsx, renamed with the JIRA ID as a prefix
- Copy of the Requirements and Specifications.docx, renamed with the JIRA ID as a prefix
- Backup (Rollback) subfolder
- Dev (Jaffa) subfolder

Emails subfolder
- Copy of CC Submission.msg, renamed with the JIRA ID as a prefix and email subject updated with JIRA ID and title
- Logs subfolder

Testing subfolder
- Copy of Test Cases Template.xlsx, renamed with the JIRA ID as a prefix
- User Readiness subfolder

Note: if the process fails, there will be an error popup to help guide you for what needs to correct the next attempt to generate.
Standard Order (SO)
- Take note of the ID and title of the work, as found in the JIRA ticket
- In File Explorer, navigate to \\vch.ca\departments\PCAC_EMR\01 - PCCEMR\Work Items\00 - All Items (JIRA)\01-Standard Orders\[GENERATE SO FOLDER]

- Dev (Jaffa) subfolder
- Copy of SO Completion.msg, renamed with the JIRA ID as a prefix and email subject updated with JIRA ID and title

- Move this folder to its appropriate SO category folder
Note: if the process fails, there will be an error popup to help guide you for what needs to correct the next attempt to generate.
Appendix - Updating Template Files
CR
- All templates files can be found in the subfolder Template Files
- File name changes quire an update to the vbs script files
- If the change is significant, before making modifications copy the original file. Add as the current date as a suffix to the copy's file name and put it into the _archive folder
- For TEMPLATE-CC Submission.msg, there is a date last updated in the footer of the email body. Update this date.
- For TEMPLATE-sysconfig.xlsx, there is a Template Revision History section of the Summary tab. Add a row to the table
- If the headline tab was updated, you will need to also update the template for headline SOs: \\vch.ca\departments\PCAC_EMR\01 - PCCEMR\Work Items\00 - All Items (JIRA)\01-Standard Orders\User Requests\Headline
SO
- The only file used in this process is the TEMPLATE-SO Completion.msg file, which can be found in the same folder as the script
- If the change is significant, before making modifications copy the original file. Add as the current date as a suffix to the copy's file name and put it into the _archive folder
