Privacy Advisor training overview
Access Request
Users start by filling out an initial request form, available from the website http://communitysystems.vch.ca/Pages/profile-emr-read-only.aspx
In the survey, they will be asked if their team has access to PARIS.
- If yes, they will state their PARIS team, receive icon request form and eLearning module. After they have completed the eLearning and accepted the confidentiality pledge, IMITSPCCommunity@vch.ca will receive an email of the staff’s EMR RO pledge and we will create the account.
- If no, they will be asked if their team has access to Profile EMR
- If their team has access to Profile EMR, they will state their EMR team, receive icon request form and eLearning module. After they have completed the eLearning and accepted the confidentiality pledge, IMITSPCCommunity@vch.ca will receive an email of the staff’s EMR RO pledge and we will create the account.
- If not, EMRHelp will receive an email stating (subject: Profile EMR RO Request- Pending approval) that the staff’s team does not have PARIS and EMR access and to forward the email to Clinical Informatics team. Clinical Informatics will forward this email to imitspccommunity@vch.ca to inform whether approved or not.
- Once Approved send the user the EMR- 1 RO - Clinical Informatics approved email template located here: \\VCHFAS02.VCH.CA\regionaldata05$\PCCIS_DataShare\Team Administration\General Office\xxClinical System Support Clerk Duties\xCSS - Email templates\EMR
- If the request has been denied, inform the staff they have not been approved by the EMR team. If they have questions to contact EMRHelp@vch.ca.
When ESA's receives the users Profile EMR Confidentiality Pledge, proceed with creating the account. Refer to the Read-Only Account article.
Pending Approval
If the user has identified that their team does not have PARIS and EMR access they need to be approved by the EMR Clinical Informatics team to receive the eLearning link + passcode
- Staff will receive this notice after completing the Profile EMR access request eForm
- Staff will also receive an email regarding icon request instructions + info regarding pending approval
- EMRHelp@vch.ca will receive an email with the subject Profile EMR RO Request- Pending approval
- EMRHelp@vch.ca will forward to Profile EMR Clinical Informatics to be approved

5. If Clinical Informatics approves the staff, they will inform ESAs by sending the email to imitspccommunity@vch.ca
6. When ESA receives approval from Clinical Informatics, send the staff the eLearning link and enrollment key
7. Send the EMR Read Only – Team Approved email to the staff with the eLearning link and enrollment key – below is the email template
If the Clinical Informatics does not approve, inform the staff they have not been approved by the EMR team. If they have questions, please contact service desk and request to for EMRHelp.
Privacy Advisors
Privacy Advisors receive READ/WRITE access
- add to Z-IMITS team in EMR
- Send them Clinician Checklist after account creation

If a Privacy Advisors needing EMR access they will submit the RO eform survey – If their team is not listed of approved teams, please have them complete the following form completed instead: http://communitysystems.vch.ca/published/AF_-_Monitoring_and_Support_(VCH,_Prov).pdf
- When they complete the RO course, give them full RW access, and add them to Z-IMITS team in EMR
- Send them their account creation info, and attach the Clinician Checklist
Access list
