Raven Song Primary Care Workflow

Problem

Raven Song has POS-specific appt view filters and POS-specific appt view group.

 

Solution

Raven Song has 3 primary care clinics: Yellow, Blue, Yellow.

The below information was gathered during Stan's Dec 2024 visit at Raven Song with admin supervisor Poornima:

CSC view 3 POSes by:

  • Option 1: Launch three instances of Profile EMR Live
    • Each instance for each team (RAG/RAY/RAB)
    • Each team uses different coloured appt types (e.g., T1/T2 Booked)
    • Each CSC has two monitors (parent team on one monitor – other teams on other monitor)
      • Each team has own assigned Clinical Assistant
      • Each assigned CA does parent team’s manual matches, tasks, etc.
  • Option 2: Within same one instance, use Special > Appointments
    • Issue: View Filters are different

Client View:

  • When client walks in at clinic and not sure who they should be seeing, search for client by DOB in Client Placeholder
  • See PC POS in Yellow Bar to identify parent team
  • Even if logged into wrong parent POS, change POS of Work Centre Appt and drag client from Placeholder to booking slot

View Filters

    • Team View
      • Includes Generic column for the team
      • Walk in, Nursing Appts, and Any Messages taken throughout the day as 15min Phone Call with appt reason (please see encounter) and make encounter note titled admin note (including Voicemails)
      • Anybody on team with capacity (RN/LPN/MRP) will look at generic column to action
        • Nurse will action Generic column appt and if provider required, Nurse will create Related Booking for provider
    • Embedded View
      • All clinicians who don’t belong to specific teams
        • Outreach team
        • Pharmacist
        • Dietitian
        • Respiratory Therapist
      • Whole clinic can see appts booked
      • CSCs typically book allied health appts
    • Specialty View
      • Right now, only Psychiatrist (Thu pm) and Room Bookings
        • Room Bookings are related bookings (can be across POSes using Placeholder)
      • Reasoning: Original intent of view are those who order labs, but this has since change
