Appendix 2: Restore Incorrectly Modified External Clinician Dictionary
Background
The External Clinician Dictionary is the directory of healthcare clinicians and organisation contact information for referring, ordering, and correspondence workflows. The linked contact information is then used to print prescriptions, populate care team, referrals, letters and forms, etc.
The External Clinician Dictionary is managed internally to prevent duplicates and its resulting clinical impacts. Historically, the Super User role had the ability to manage the External Clinician Dictionary (2024 and earlier).
The External Clinician Dictionary consists of three groups:
- External Clinicians (e.g., primary care providers and specialists who do not document in this VCH instance of Profile EMR)
- External Suppliers (e.g., pharmacies and laboratories)
- External Agencies (e.g., hospitals and other organizations who do not document in this VCH instance of Profile EMR)
Turnaround Time
As external clinicians are used throughout clinical and administrative workflows, this is the HIGHEST priority standard order with a goal of turnaround time of 30min-1hr. Communication to end users would be a goal of one business day. Workaround during out of office hours is pending.
Prerequisite: Requester to Complete the SO Request Form
If a request was received for this Standard Order but without using the SO request form, send the form's URL link to the requester. After receiving the form submission, ensure all the mandatory fields are completed before proceeding. If not, discuss further with the requester.
Prerequisite: Search for Existing Record
1. Navigate to Organisation > External Clinicians on the menu bar. The External Clinicians window opens.
2. Change view filter to All external clinicians (as thisi includes both Active and Inactive records)
3. Search for existing record by:
- Identifier (i.e., MSP ID) or
-
Name or
- For last names with spaces or hyphens, also try as separate terms (e.g., De Vlaming or DeVlaming or De-Vlaming)
- For 2-letter last names, use "LastName," format to search (i.e., "Ng,")
- Phone
Hint! You may use the % sign in front of your search. The % sign is like the *asterisk in that it acts as a wildcard.

Modify Existing Record
There are only a few reasons why you would Edit an Existing Record - name change (like from maiden to married name), errors (like a typos) or a change in phone or fax.

1. Navigate to Organisation > External Clinicians on the menu bar. The External Clinicians window opens.
2. Identify the External Clinician record and double-click to open.
3. In General tab, modify the record as requested.

Inactivate Existing Record

Appendix 2: Restore Incorrectly Modified External Clinician Dictionary
This process outlines the steps to restore an External Clinician dictionary entry (e.g., pharmacy) that has been unintentionally modified and needs to be reverted to its original state. Intake approval is not required.
This work consists of two major steps, Urgent restoration and Full Investigation & Follow up.
