Background
Users have a sanctioned test client in production to chart against:
- Last Name: T PRACTICE
- First Name: CLIENT
- File Num: 43977
- PARIS ID: 24114
Special precautions have been made on both the Profile EMR and the PARIS side to omit this test client from reporting and data transfer to systems outside of these applications (i.e. EMPI, Cerner). Test clients created by users will not have these safeguards and therefore need to be hidden.
Prerequisite: Analysis & Setup
Request to hide unsanctioned test client may be received from several different sources: Data Quality, EMR Team, CSSEs, EMR Help, etc. We must first confirm the unsanctioned test client's account before proceeding
- Check if test client was once a duplicate client record in Alter Client > Notes (DONOTUSE)
- If yes, STOP as more analysis will be required. Forward email thread to Clinical Informatics saying so.
- If no, proceed to Step 2 below.
- Create the JIRA with title:
- If non-UBC client: "Hide test client - PID#/FileNum#"
- If UBC client: "Hide test client - FileNum#"
- Create a work item folder under the Standard Order folder Hide Unsanctioned Test Clients:
- If non-UBC client: "EMR-### PID#"
- If UBC client: "EMR-### FileNum#"

If a CIS was not the requester, it requires this step. Copy and paste the below to an email, replace #VALUE# with the appropriate information:
Email Subject: For SO Approval: SO033 Hide Unsanctioned Test Client
Email Body:
Hello CSSEs,
Can you please review and approve this SO submitted by #VALUE = requester name# from #VALUE = requester's department#?
PARIS ID/FileNum: #VALUE = PARIS ID (use FileNum only if UBC Client)#
If so, please reply back for this Standard Order to be processed and please also email user(s) who have charted on the test client.

After sending the email:
- Set the JIRA status to Waiting for Approval
- Create a subtask for SO033 CIS Approval for EMR-XXXXX, where XXXXX is the ID for this SO. Assign it to the person the email was sent to
Fulfillment Instructions
Note: Not required in VTM
Create a subtask for SO033 Implementation for EMR-XXXXX, where EMR-XXXXX is the JIRA ID. Assign it to yourself. Note: do not create this subtask earlier while waiting for CIS Approval; create it only once CIS has approved. If this is not followed, this will report inaccurate metrics for the monthly performance reports.
Hide Unsanctioned Test Client
- Sign into EMR production using an account with a Sys Admin or Support Analyst role
- Open Alter Client window of the Unsanctioned Test Client
- Go to Personal segment, tick the Notable Person checkbox
- Click OK to save
- If you are unable to save the changes because the DOB field on the General tab is empty or showing unconventional DOB (30 Dec 1899), enter 01 Jan 1900 as DOB in the Register form, save the form. (Ref: EMR-9233)
Inactivate ALL Care Team Members
- Go to Care Team segment

Right-click on the name of the Open Care Team Members and select Inactive from the dropdown menu.
Remove ALL PC or ALT POS
- Click on PC or ALT PC hyperlink on the yellow bar. The Update Provider, PC POS and ALT POS window should appear.
- Click on the drop down for Primary Care Clinic. Select the blank option to remove the PC POS.
- Review all of the ALT Clinics, untick all selected options. Note - Users can only update the POS they are logged into. To untick each ALT POS, Support Analyst will need to log in to that appropriate POS.
Validation
- Sign into EMR production using an account without a Sys Admin or Support Analyst role
- Attempt to open the unsanctioned test client's record (e.g. Alter Client, Medical Record). The following message should popup:
