Accessing the Password-Protected PDF
Background
When results are uploaded as password-protected PDFs, Profile EMR cannot open them directly. If a user attempts to select such a result/document, the system displays an OLE error message (see example screenshot).
If the user is exporting a medical record that contains a password-protected PDF, the export process begins and files start saving to the selected folder. However, once the error message appears, the export fails and all downloaded files are removed from the folder.

Right-click the document in Results and select Export.
Save the document to a secure folder on your computer.

Open the PDF in your PDF reader (e.g., Adobe Acrobat).
You will be prompted to enter the password.
Removing the Password
To prevent this issue for other staff when accessing the client’s chart, remove the password protection and re-import the PDF into Profile EMR:
Open the PDF in Adobe Acrobat PRO.
Go to Tools > Encrypt > Remove Security.
If the document has a “Document Open” password, click OK to remove it.
Save the PDF.
Re-import the PDF to the client’s chart in Profile EMR via Scan Processor.
Note: Always save the file in a secure location during this process and delete any temporary copies once the document has been re-imported into Profile EMR.
