Exception: PARIS ID is Blank
Background
Some results come into Profile EMR that do not have a POS assigned to them. When POS is blank/null, transactions are not visible to clinicians which creates a patient safety and workflow risk. To identify these records, the Null Transactions Report is executed to extract transactions where the POS is NULL.
Previously, NULL POS transactions were identified through the Unsigned Transactions Aging Report. The extracted data was then emailed to EMRHelp and actioned by the support analysts.
Effective February 9, 2026 the new Null Transactions Report has been deployed to the DRT folder to enable direct access and action by Support Analysts.
Important! Depending on when the support person has the chance to check the transaction, a later version may already have an assigned POS and no longer Null. In this case, no further action is required.
Access the Report
Navigate to the following directory:
\vch\departments\PCAC_EMR\01 - PCCEMR\01-Reports and Data Extracts\Reports\Operational\Script ToolOpen the report file corresponding to today’s date: [today's date_NullTrans]
In Column A (Transaction Clinic), use the filter dropdown and select “NULL.” These are the rows that need to be remediated.
Steps to Remediate
1. Login with your sys admin account
2. Open Medical Record via PARIS ID search (if null PARIS ID, see Exception: PARIS ID is Blank)
3. Navigate to Results
4. Find the transaction defined by the Null POS email
5. Check if the transaction is signed, skip it and go to the next transaction
6. Right-click on the transaction and select Set Properties
7. Re-enter the clinician's name. Be careful selecting the clinician's name to ensure you have the correct clinician; some have similar names.
7. The POS should autopopulate. If it does not, discuss with a clinician on the EMR team to determine the correct POS and ask them to re-assign with their sys-admin account.
Exception: PARIS ID is Blank
At times, the PARIS ID column on the Null Transactions notification is blank/null.
1. Navigate to Organization > Control Centre > Manual Matches
2. Change view filter to Unmatched Results - Unassigned
If the transaction is not in this view filter, check all the other view filters and right-click on the transaction > Set Properties then check POS field. If there is already a POS, no further action is required.
3. Find the transaction defined by the Null POS email and note Clinician
4. Find POS by opening Organization > People and Places to find Clinician's Main POS (Member Of tab > Bold POS)
5. Email POS Delegates (see Profile EMR Clinic Details) to notify them that there are unmatched results under Unmatched Results - Unassigned filter

Please note that there are Manual Matches with blank or unassigned POS for your clinic. In Manual Matches, please change the view filter to Unmatched Results - Unassigned to find these transactions that require matching.
